Without source tracking, admissions teams spend time and budget on activities that look busy but produce few qualified students. Use UTM parameters on every paid ad, every email campaign link, and every social media link that goes to an enquiry or application page. Without them, all of that traffic appears as “direct” in your analytics, which makes it impossible to attribute the enrolment to the right campaign.

How do you handle offline enquiry sources without losing data?

Offline source tracking depends on your team entering the information consistently at the point of contact. The most common failure: a team member adds a contact to the CRM without filling in the source field, and the data is lost because no one remembers where the student came from two weeks later.

Two ways to reduce this:

  • Make the source field required in your CRM. If the field is mandatory for saving a new contact, it cannot be skipped. The team member has to select a value before moving on.
  • Build a simple intake card for open days and fairs. A paper or tablet form at any offline event captures name, phone, email, and “how did you hear about us?” answers. What if a student came from multiple sources?
Most CRMs record the “original source” as the first touch and optionally track subsequent touches. For admissions purposes, focus on the original source for attribution. If a student first found you through organic search and then registered via an email campaign link, the organic search is the original source; the email was the converting touch. Both are useful but serve different analytical purposes.

Do I need GA4 if I have a CRM?
They complement each other. GA4 tracks traffic behaviour before a form is submitted: which pages a visitor read, how long they spent, where they dropped off. The CRM tracks what happens after the enquiry: pipeline stage, follow-up activity, and ultimately whether they enrolled. Together they give you the full picture from first visit to enrolment.
