What is the difference between a pipeline count and a weighted forecast?

A pipeline count tells you how many candidates are at each stage right now. A weighted forecast takes that count and adjusts it by the probability of each candidate reaching enrollment, based on historical rates.

Example: you have 60 candidates at the Application Complete stage. If your historical rate from that stage to Enrolled is 70%, the weighted forecast contribution from this stage is 42 students. Adding the weighted contributions from every active stage gives your total forecast. A raw pipeline count overstates enrollment if your rates are below 100%. The weighted figure is more useful for planning because it reflects what is likely to happen, not what is possible.

How far ahead can enrollment forecasting be reliable?

Forecast reliability increases as you get closer to the intake close date and as more candidates move into later pipeline stages. A forecast made three months before intake is directional at best. At that point most candidates are still at the Enquiry stage. A forecast made four weeks out can be accurate enough to drive staffing decisions, once most candidates have reached Application Complete or later.

Treat early forecasts as range estimates (“we expect 40 to 60 enrolments”) and narrow the range as the intake approaches. What if your CRM data is incomplete?

Forecasting with incomplete CRM data produces a forecast for the leads you have tracked, not the total pipeline. Before relying on CRM forecasts for decision-making, check that your team is consistently logging all enquiries and updating stages as candidates progress.

Common gaps include:

  • Enquiries that arrive via phone or walk-in and are not entered into the CRM
  • Pipeline stages that are not updated when a candidate stalls
  • Records that are marked closed-lost before a proper follow-up attempt
